1. How do enterprises delegate management permissions to employees?

The steps are as follows:

Step 1: Individual users complete their registration on the IB Business Express Payroll Payment System;

Step 2: The enterprise administrator invites individual users to join the enterprise;

Step 3: The enterprise administrator assigns administrative authority to individual users;

[Invite internal staff to join the company]

After an employee has registered on the IB Business Express Payroll Payment System, the enterprise administrator can navigate to the [Admin Console - Organizational Structure] page, select the organization to which the employee belongs, and click [Invite Employee to Join] on the right side of the “Direct Members” list to invite employees to join the enterprise through mobile phone number, link, or QR code.

If the administrator uses “Invite by Mobile Phone Number”, the employee can successfully join the enterprise by clicking [Agree to join]. For “Invite by Link/QR code”, the administrator is required to confirm the approval again in the “Invitation Record” after the employee clicks [Agree to join].

Click [Add External Personnel] on the [Admin Console - External Personnel] page to invite external personnel; the following steps are the same as those for “Invite internal employees to join the enterprise”.

[Assign permissions to users]

After an individual user joins an enterprise, the enterprise administrator can assign permissions using either “user authorization” or “association with roles”.

[User authorization]

The enterprise administrator navigates to the [Admin Console - Permissions Management - User Authorization] page. After clicking [Add User] to select the user and set it as “Administrator”, complete the “functional permission settings” and “data permission settings” in sequence for the user.

[Role management]

The enterprise administrator navigates to the [User Authorization – Association with Roles] page. After “Adding a role”, assign “functional permissions” and “data permissions” to that role. B Once completed, the user will possess the respective permissions.

Complete “Invite users” and “Assign permissions” according to these steps.

2. Does the system support the dual super administrator function?

This feature is not supported for the time being.

3. How to invite external personnel to join the enterprise?

External personnel refers to personnel other than internal employees, but they may be required to undertake part of the management work in the IB Business Express Payroll Payment System. It is supported to transform eternal personnel into internal employees, and vice versa.

Enter the [Admin Console – Organization - External Personnel] page and select “Type of External Personnel” to add;

Click [Add Type] to add the external personnel type;

The addition methods include “Invite by mobile phone number” and “Invite by link/QR code”. For the “Invite by mobile phone number”, one will receive an SMS message for the invitation to join. For the “Invite by link/QR code”, the invitee can apply to join the enterprise by clicking the link or scanning the QR code, subject to approval by the enterprise administrator;

4. How to create an organizational structure?

Enter the [Admin Console – Organization - Organizational Structure] page to add an organization;

You can delete, modify, and disable organizations that have been added.

5. How to remove the former employees’ permissions to operate the IB Business Express Payroll Payment System?

The cases are as follows:

[Registration of ordinary users]

The enterprise administrator enters the [Admin Console – Organization - Organizational Structure] page to click “delete” or “remove from the enterprise”. This will revoke the resigned employees’ permissions to operate the system;

[Resignation of super administrator]

If the resigned employee is a super administrator, you need to change the enterprise’s super administrator. Once this change is completed, the new enterprise super administrator can then proceed with the "delete" or "remove from enterprise user" actions for the resigned employee.

6. How to query the records of changes to the organizational structure?

The enterprise administrator navigates to the [Admin Console – Organization - Organizational Structure - Specific Organizational Structure - More Operations - List of Change Records] page to view the records of change to the organizational structure;

Click [Change Details] to view the specific operation time, operator, details of the changes, etc.

7. How to invite employees to join the enterprise?

There are three methods: quick joining of employees, invite by mobile phone number, and invite by link/QR code.

[Quick joining of employees]

The super administrator navigates to the [Admin Console – Organization - Organizational Structure] page to bulk import employee information or click [+Add] to add them one by one, and fill out information on invited employees such as the mobile phone numbers. The invited employees can log in to the IB Business Express Payroll Payment System, and join the enterprise through the pop-up confirmation.

[Invite by mobile phone number]

The super administrator navigates to the [Admin Console - Organization/Organizational Structure - Invite Employees to Join] page and enters the mobile phone number of the invited employee;

It supports sending SMS alerts to invited employees;

The employees can log in to the IB Business Express Payroll Payment System, and join the enterprise through the pop-up confirmation.

[Invite by Link/QR code]

The super administrator navigates to the [Admin Console - Organization/Organizational Structure - Invite Employees to Join – Invite by Link/QR Code] page to copy the invitation link or send the QR code to the invited employees;

After an invited employee applies to join the enterprise, the enterprise administrator with permissions can approve it in the “Invitation Record”.

8. How to adjust the organization to which employees belong?

The enterprise administrator enters the [Admin Console – Organization - Organizational Structure] page, selects the employee who needs adjustment, clicks [Adjust Organization], and selects and confirms the new organization.

9. How to use the application management function?

[Scenario]

If an enterprise only uses some applications, can the other applications be turned off?

The demand can be met through the application management function.

[Introduction to the Functions]

Enterprise administrators with permissions can view and set existing applications in the application management module of the Admin Console. Specifically, the following operations are as follows:

1. Viewing and searching for enabled and disabled functions;

2. Setting applications: including enabling, disabling, and setting the scope of application visibility;

3. Operation process.

[View Applications]

The enterprise administrator enters the [Admin Console – System Dashboard -Application Management] page and clicks “Enabled” to view all applications enabled by the enterprise. The list displays the application name, a brief description, an application icon, compatibility, scope of visibility, and operation.

“Compatibility” refers to the terminals on which the application is displayed. For example, if the compatibility of “Organization Management” is set to personal computer (PC), then “Organization Management” is only displayed on the PC;

“Scope of visibility” refers to the range of users who can view the application on the System Dashboard. The enterprise administrator clicks [Settings] to enter the [Application Details] page and set the scope of visibility for the application;

“Top filter” can quickly filter applications by the type, compatibility, and name.

[Basic information, enabling, disabling]

In the top section dedicated to basic information, you can view the basic information on the applications, including brief description of applications, application classification, and the status of the application (whether enabled or disabled).

Click [Enable], and the application will be displayed and available for use in the enterprise’s System Dashboard;

Click [Disable], and the application will not be displayed in the System Dashboard under the enterprise, rendering it inaccessible to enterprise users. The settings of the application will no longer appear under “Permissions Management”;

[Scope of application visibility]

Within the “Scope of application visibility”, permissions can be adjusted to grant designated departments, positions and personnel in the enterprise to use the application in the IB Business Express Payroll Payment System.

[The relationship between the scope of application visibility and the functional permissions]

The “scope of application visibility” and “functional permissions” are enabled and exist at the same time. Whether a user can see the application on the System Dashboard is related to the scope of visibility; whether the application can be operated is related to the functional permissions.
